About the Client
Kailash Vahan Udyog Ltd — A Multi-Plant Manufacturing Challenge
Kailash Vahan Udyog Limited (KVUL), founded in Pune in 1986, is a leading manufacturer of tip trailers and special-application vehicles. As the company expanded — establishing plants in Bangalore (1994) and Chennai (2013) — tracking employee attendance across three geographically separated locations became increasingly complex and error-prone.
Relying on manual registers and disconnected systems meant payroll calculations were delayed, shift anomalies went undetected, and management had no real-time visibility across sites. KVUL turned to Cybernetics Software Pvt. Ltd. to design and deploy a unified Multilocation Biometric Attendance System integrated directly with their payroll workflow.
Client Requirements
What the Client Needed from a Multilocation Biometric Attendance System
KVUL presented the following specific requirements before project scoping:
Biometric + Card Authentication
Fingerprint and RFID card-based attendance marking at all three plant locations (Pune, Chennai, Bangalore).
Web-Based Centralized Software
A web-based attendance platform so managers at any location could access real-time data — no client software installations needed.
Head Office Data Centralization
All attendance data from all three plants to be consolidated and stored securely on a central server at the head office.
Automatic Salary Calculation
Payroll to be computed automatically from attendance data — reducing manual HR effort and eliminating calculation errors.
Multi-Shift Management
The system must handle multiple shifts per location, including overtime tracking, tour entries, and on-duty (OD) entries.
Multilocation Reporting
Consolidated and location-wise attendance reports for management review and compliance across all plants.
Cybernetics Solution
How We Deployed the Multilocation Biometric Attendance System
Cybernetics Software designed a phased implementation ensuring zero downtime and smooth data migration from existing records.
Hardware Installation at All Sites
X990 biometric machines supporting fingerprint and proximity card authentication were deployed at all three locations — Pune (head office), Chennai, and Bangalore plants.
Cloud-Based Attendance Software Setup
Cybernetics' web-based attendance software was configured on a central cloud server. No local installation was required at any branch — employees and managers access the system through any web browser.
Auto-Download Utility Configuration
Auto-download utilities were deployed to automatically pull punch data from each biometric machine and upload it to the central server — eliminating the need for manual data exports.
Payroll Integration & Customization
The cloud attendance system was integrated with the Cybernetics Payroll module. Salary structures, shift definitions, overtime rules, and leave policies were configured as per KVUL's HR norms.
Testing, Training & Go-Live
Full UAT was conducted across all three sites. HR teams at each location were trained on the web portal. The system went live simultaneously at all plants with Cybernetics providing on-site support.

Business Impact
Benefits Achieved with Multilocation Biometric Attendance & Payroll Integration
Why Choose a Multilocation Biometric Attendance System for Your Business?
As organizations grow beyond a single office — opening branches, warehouses, factories, or regional offices — managing employee attendance manually across locations becomes unsustainable. A Multilocation Biometric Attendance System solves this by providing a single, unified platform that connects all your sites and delivers real-time workforce data at the head office level.
What Is a Multilocation Biometric Attendance System?
A Multilocation Biometric Attendance System is a centralized attendance management solution where biometric devices (fingerprint scanners, face recognition units, RFID card readers) installed at multiple physical locations send punch data to a central server. HR managers at the head office can monitor attendance, generate reports, and process payroll without waiting for location-level data submission.
Key Industries That Benefit
- Manufacturing companies with multiple plants
- Retail chains with stores across cities
- BFSI companies with branch networks
- Hospitals and healthcare groups
- Construction firms with multiple project sites
- Logistics and warehousing enterprises
Multilocation Biometric Attendance vs. Traditional Attendance Systems
Traditional attendance systems — whether paper-based or siloed software at each location — require manual data collection and reconciliation. A centralized multilocation biometric attendance system automates the entire data pipeline: from punch capture at the device to payroll calculation at HQ. This eliminates errors, reduces processing time, and provides real-time workforce visibility that traditional systems simply cannot offer.
Why Integrate Attendance with Payroll?
Payroll integration with biometric attendance means salaries are computed directly from verified punch data — accounting for present days, half days, leaves, overtime, and shift premiums. This removes the need for manual payroll inputs, reduces disputes, and ensures statutory compliance (PF, ESI, PT, TDS) is managed accurately based on actual attendance records.
FAQ
Frequently Asked Questions — Multilocation Biometric Attendance System
Yes. Biometric devices store punch data locally. The auto-download utility syncs data to the central server whenever connectivity is available — ensuring no punches are lost even during brief outages.
Cybernetics' platform supports from 3 to 40+ locations on a single centralized instance. The architecture scales horizontally — additional locations only require installing devices and configuring the sync utility.
Cybernetics supports leading biometric hardware brands including eSSL, ZKTeco, VIRDI, Morpho, and others. Devices can support fingerprint, face recognition, RFID card, or a combination of these modalities.
No. The multilocation biometric attendance system can be deployed standalone. Payroll integration is an optional module that can be added at deployment or at a later stage as requirements evolve.
All attendance data is encrypted in transit and stored on a secure central server. Role-based access controls ensure location managers only see their own employees' data, while HQ admins have full visibility.
